1. Know what this sample is for
A concept model, a finish sample and a production approval sample can answer different questions. Agree the purpose and limits before deciding what is approved. Identify any substitute component or unfinished step.
2. Check against the current specification
Use the identified drawings, material requirements and acceptance criteria. Check dimensions, construction, relevant functions, stones, finish, branding and packaging. Label images or notes so the exact point can be located.
A favorable photo is not enough to resolve a dimensional, structural or testing requirement. Seek the relevant measurement, physical review or evidence.
3. Record the decision and conditions
Record who approved which sample and revision, on what date, and which points remain open. Distinguish approval, rejection and conditional changes. Lock the resulting production basis only after the required reviews.
Changes after approval must be reviewed and versioned. An earlier approved sample does not silently authorize a different material or construction.
